PREPARING THE PERFORMANCE EVALUATION ON A
RECURRING BASIS

Review Previous Documents

If you are preparing a performance appraisal for the second or more time for the same job title/position, review the previous year's evaluations. Performance objectives which have been achieved should be dropped and replaced by new performance objectives. Those performance objectives which are continuous should be reviewed to ensure that they are still relevant. Further, it is helpful to review who your customers are and what their expectations are for the upcoming year. They may have changed dramatically in the last year, and consequently your response or performance will also need to change.


Review of the Performance Appraisal

The employee and Supervisor should complete the first two sections of the Performance Evaluation Form (behavior-based and objective based) with your immediate supervisor.
When agreement is reached on performance objectives and the behaviors to be measured, the supervisor prepares the final copy. The supervisor should retain one copy and provide one copy to the employee.


Communication

Experience has shown that communication is critical to the immediate and long-term success of any performance management modifications. If and when objectives change, both parties should maintain contact to ensure successful completion of the performance management process throughout the year.


Performance Management Annual Review

At this time, performance objectives and behaviors are reviewed for the full year. Ratings are discussed and assigned for each measurement area. These ratings capture the overall performance of the employee. Additionally, the Annual Review is the time when employee and supervisor comments are completed and the document is signed.
As in prior reviews, the employee can schedule these meetings. However, in preparation for the Annual Review, the supervisor is responsible for getting feedback to the employee. This input should be gathered prior to completing the appraisal form and consolidated into the overall performance rating.
